The Print Preview Feature

The fastest and most responsible way to edit documents is "on the fly"—meaning on the screen. Avoid reprinting documents just to make small editorial or layout changes.

You can view and fix any page layout problems by using the Print Preview feature found within the application you are using.

Almost all applications have a Print Preview feature. This feature allows you to see exactly how your pages will look when they are printed. You can save paper right up until the final print by using this function. Print Preview is easy to use—and in most applications—you can print directly from the Print Preview page by clicking on the print button or printer icon .

Here are some examples for common software applications:

  • In Microsoft Word, Excel, PowerPoint, Internet Explorer or Netscape Navigator, from the File menu, select Print Preview.
  • In Microsoft Word, Excel or PowerPoint click the icon. You can now view one page or multiple pages at a time to see how your document will look when printed.
  • In Microsoft Excel, you can now look at one or multiple pages to see how your document will lay out on the page. Additionally, from the File Print menu, you can select Preview to make sure the layout is the way you expect it to be. This step is important because Excel will print all cells with anything in them by default, and it will often print the last column or two on separate pages.
