Standard COGNOS Reports - Student Data

Fall 2022 Update:

- Cognos student data marts are currently being updated mid-morning. Users may encounter “Logon failed” errors prior to Noon.
- Data generated prior to the daily update may be two days old.

  1. The report data available here is for UD staff INTERNAL USE ONLY. It is NOT for re-distribution to any other UD department. Should you be contacted by an outside vendor for data, direct them to the Registrar's Office Reporting team.
  2. UD Staff are required to protect confidential student data. PNPI guidelines and FERPA guidelines.

SETUP:

Security: These reports require the COGNOS Access role: SA_SR_USERS. Use this form to request COGNOS access. (More info from IRE/Business Intelligence).

NOTES:

- To access Cognos from off-campus, you must first log in to the UD VPN software.
- Since some reports are extensive, select to receive these by email.
   o Click Select a Delivery Method
   o Choose Email report.
   o In the From/To Email options window, click Attach the report and then click OK.
   o When prompted ‘Do you want to close this window?’ click OK.

E1-ORG. Students Active for Term by Acad ORG

This report is modeled after E1 but creates a single list of all rows as well as separating students into unique sheets for each academic organization.

FIRST Prompt page:
  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term. Then click OK button at bottom of screen.
SECOND Prompt page:
  1. Select Career, Then click REPROMPT
  2. Select Program(s) and Plan Type(s). Then click optional filters or Finish at the bottom.

NOTE: If students are not enrolled in classes, they will no longer appear on this report after the 10th day of classes (Fall/Spring) or after the Academic Penalty deadline (Winter/Summer).

E2. Students Active for Term by Major/Minor with all plans

*Note: For a specific Course of Study Flag report, click E2-COS Reports Folder below.

Students in plans outside of their primary program ARE automatically included.

Includes GPA. Results may be filtered to highlight a specific range.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Choose the desired Term.
  3. ACADEMIC CAREER : Select GRAD or UGRD. Click Reprompt.
  4. (Optional) Select MAJORS and/or MINORS. Then click Finish button to the right.

NOTE: If students are not enrolled in classes, they will no longer appear on this report after the 10th day of classes (Fall/Spring) or after the Academic Penalty deadline (Winter/Summer).

E2-COS. Course of Study Reports

    (Then select a specific report to run)


These set of reports are identical to E2. Students Active for Term by Major/Minor with all plans but are specifically filtered for each Course of Study only.


  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Choose the desired Term.
  3. ACADEMIC CAREER : UGRD Only. Click Reprompt.
  4. ACADEMIC PROGRAM : Select Program(s). Click Reprompt.
  5. (Optional) Select MAJORS and/or MINORS. Then click Finish button to the right.

NOTE: If students are not enrolled in classes, they will no longer appear on this report after the 10th day of classes (Fall/Spring) or after the Academic Penalty deadline (Winter/Summer).

E3. Grade Distribution Crosstab with average


Submit a request (Login required)

Provides a Grade Distribution report by course subject and term.

In the "Other Information" box, specify "E3-Grade Distribution".

Provide the desired Academic Term, Course Subject Code and Course Catalog number(s).

E4. Class Roster by Term, Subject, Catalog Number and Section


   >> Run Report E4

Provides a class roster of those currently enrolled by term, in a specific course and section.

After grades are posted, this report will also list student course grades.

  1. ACADEMIC_TERM: Choose the desired Term.
  2. SUBJECT: Select your Course Subject code or Select all. Click Reprompt.
  3. CATALOG NUMBER: Select your Course Catalog number(s) or Select all. Click Finish or Reprompt to optionally choose Section numbers.
  4. (Optional) SECTION: Select the desired Section(s) and click Finish
  5. PROGRAM_STATUS: Select Active in Program.
  6. .
     
E5. Active Students but not Enrolled in Classes for the Term


   >> Run Report E5

Provides a list of students who are active and eligible to enroll for the term, but currently have NOT enrolled.

Advisor Name, Email and Role are now included in this report.

See NOTES for further info.

  1. ACADEMIC_TERM: Choose the desired Term.
  2. PROGRAM_STATUS: Select Active in Program.
  3. NO further action is required to select ALL for the following values:

    (Optional) ACADEMIC CAREER: Select the desired career(s).
    (Optional) ACADEMIC PROGRAM: Select the desired program(s).
    (Optional) ACADEMIC PLAN: Select the desired plan(s).
     
  4. Click Finish.

NOTES: This report can ONLY be run during a specific time period, starting approximately one week before registration begins for a future term, through the following deadlines for the current term:
Fall/Spring: through the 10th day of classes
Winter / Summer: through the Academic Penalty deadline
This report cannot be run for past terms.

If enrollment does not occur, these students will no longer appear on this list after the 10th day of classes (Fall/Spring) or after the Academic Penalty deadline (Winter/Summer).

E6. Enrollment Census reports

Registrar's Office Summary Webpage: Opening Day and Official Enrollment Numbers by Term

This report menu provides enrollment figures for the FIRST, OFFICIAL (end of drop/add period) or LAST day of the semester with breakdowns available by Gender, Time Status and Residency.

Optional prompts within these categories allow colleges/departments to request their specific student data. The prompts chosen by the user appear at the bottom of the report.

NOTE: Reports by default are created in html format. This allows you to click on the counts to receive the underlying student detail in Excel format.

FIRST Prompt page:
  1. ACADEMIC_TERM: Choose the desired Term and then click the Reprompt button at the top of the page (next to the light bulb).
  2. RUN_DATE_ID: Select FIRST - First day of Classes, or OFFICIAL - Official Enrollment=End of the Drop/Add period, or LAST - Last day of Classes.
  3. Click OK and you will move to the second prompt page.
    (Ignore the Select a delivery option request.)
SECOND Prompt page:
  1. NO action is required to select ALL for the following values. If you don't want to make further selections, click Finish at the top of the page.
    OR.....

  2. (Optional) CAMPUS(es): Select the desired campus.
    (Optional) ACADEMIC CAREER(s): Select the desired career(s).
    (Optional) ACADEMIC PROGRAM(s): Select the desired program(s).
    (Optional) ACADEMIC PLAN(s): Select the desired plan(s).
    (Optional) HONORS STUDENTS (ONLY): Click the Y button if you want to restrict the report to Honors students.
    (Optional) INTERNATIONAL STUDENTS (ONLY): Click the Y button if you want to restrict the report to International students.
     
  3. Click Finish.
  4. (Optional) Retrieving Student Detail for a specific count:
    • In the .html report, click the count for which you would like detail information.
    • You will receive a report is running message and then you will be prompted to open or save the associated Excel file.
  5. (Optional) To save the .html report as a .pdf file,
    • Click on the View icon in the top right bar (to the left of Add this report).

    • Choose View in PDF Fromat.
    • If you move your cursor over the bottom-middle of the pdf, a toolbar will appear with options to print or save the file.
E7. Courses with Seat Availability - Newark On-Campus Only


   >> Run Report E7

Provides a list of courses by subject(s), with their Enrollment Totals and Caps, as of Start of Day when the report is run.

  1. TERM: Choose the desired Academic Term and then click Finish or continue your selection.
  2. (Optional) COLG(s): Select the desired college code(s) and then click Finish or continue your selection.
  3. (Optional) PRIMARY DEPT(s): Select the desired department code(s) and click Finish.
E8a. Course Enrollment Caps and Totals


   >> Run Report E8a (List only)

Provides a list of courses by subject(s), with their Enrollment Totals and Caps, as of Start of Day when the report is run. Choose the report version including course subtotals, or the list-only version.

  1. ACADEMIC_TERM: Choose the desired Term.
  2. SUBJ: Select the desired course subject(s).
  3. Click Finish.
E9. Grade Roster Status for MidTerm Grades


   >> Run Report E9
    

Provides a list of courses by subject(s), with their MidTerm Grade Roster status, as of Start of Day when the report is run.

  1. ACADEMIC_TERM: Choose the desired Term.
  2. (Optional) Subject(s): Select the desired course subject(s).
  3. (Optional) Catalog Number(s): Select the desired catalog number(s).
  4. (Optional) Class Section(s): Select the desired class section(s).
  5. Click Finish.
E10. Grade Roster Status for Final Grades


   >> Run Report E10
    

Provides a list of courses by subject(s), with their Final Grade Roster status, as of Start of Day when the report is run.

  1. ACADEMIC_TERM: Choose the desired Term.
  2. (Optional) Subject(s): Select the desired course subject(s).
  3. (Optional) Catalog Number(s): Select the desired catalog number(s).
  4. (Optional) Class Section(s): Select the desired class section(s).
  5. Click Finish.
E11. Active Students with Registration Holds


   >> Run Report E11
    

Provides a list of students that currently have Registration Holds. Prompts include Service Indicator Hold and Service Indicator Reason.

FIRST Prompt page:
  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Choose the desired Term.
SECOND Prompt page:
  1. Service Indicator: Select one or multiple Service indicators or choose 'Select all' then click REPROMPT to select a Service Indicator Reason.
  2. Service Indicator Reason: Select one or multiple Service indicator reasons or choose 'Select all'.
  3. (Optional) Academic Career: Select GRAD or UGRD or both.
  4. (Optional) Academic Program: Select the desired program(s).
  5. Click Finish.
E12. Waitlist Roster by Term, Subject, Catalog Number, and Section


   >> Run Report E12

Provides a waitlist roster of those currently waitlisted by term, in a specific course and section.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Choose the desired Term.
  3. SUBJECT: Select your Course Subject code or Select all. Click Reprompt.
  4. CATALOG NUMBER: Select your Course Catalog number(s) or Select all. Click Finish or Reprompt to optionally choose Section numbers.
  5. (Optional) SECTION: Select the desired Section(s) and click Finish.
     
E13. Active 4+1 Students


Submit a request (Login required)

Provides a list of active students with 4+1 coding by college.

Due to the nature of 4+1 student activation, this report is not available in Cognos and should be requested through the UDSIS Data Request form.

In the "Other Information" box, specify "Active_4plus1_Student” report from Tableau.

ADVISEMENT

A1. Students with Incomplete grades


   >> Run Report A1

May be run by Colleges or Departments prior to the 10th day of the following semester, to check for students in jeopardy of a negative Academic standing due to the change of an Incomplete grade.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term.
  3. CAREER(s): Select Career(s). Then click REPROMPT to display the Program selection.
  4. PROGRAM(s): Select Program(s). Then click FINISH to the right.

  5. Note: Now includes Career prompt and the output contains an "All" sheet and multiple sheets separated by Program.
A2. Students with Term GPA < 2.0 and CUM GPA > 1.999


   >> Run Report A2

May be run by Colleges or Departments to identify students for outreach prior to receiving a derogatory academic standing.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term.
A3. Students with Term GPA < 2.0 and CUM GPA > 1.999 with Courses

Same report as above. Also included are semester classes and grades.

A6. Faculty Advisor and Students Assigned (by term)

May be run by Colleges or Departments to obtain a list of all students assigned to an Advisor for the term.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term.
  3. ADVISOR_PRIMARY_NAME: Select Advisor's name. Then click Finish OR...
  4. (Optional) PLAN(s): Select plan(s) and click Finish.
A7. Students Enrolled in more than one Pass/Fail Course

May be run by Colleges or Departments to advise students who are enrolled in more than one Pass/Fail course for the term, in violation of UD policy.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term.
  3. ACADEMIC PROGRAM: Select the desired program(s)and click Finish.
A8. UD Student Advisor-ADD

A8-AS Majors Only AS Students Active for Term by Majors with all plans and ADVR plan advisor

This report creates a "starter" file as input to the Student Advisor Batch Assignment Process (Training Required).
All active students for the term for the prompted majors/minors(s) who do NOT have an ADVR Advisor. Edit this file to add the assigned ADVR advisor and then run the batch assignment process.


  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term.
  3. ACADEMIC CAREER: Select the desired career and click Reprompt.
  4. ACADEMIC MAJOR/MINOR: Select the desired major/minor(s)and click Finish.
A9. UD Student Advisor-REMOVE


   >> Run Report A9

This report creates a "starter" file as input to the Student Advisor Batch Process (Training Required).

It will list all current advisees of the selected Advisor. Staff edit the file and use it to remove advisees from the Advisor in the batch process.

  1. Advisor: Select Advisor.
    NOTE: If the Advisor is listed under multiple plans, the process will remove ALL rows for the advisor.
  2. (Optional)ACADEMIC PLAN: Select the desired plan(s)and click Finish.
A10. Advisee Plan Audit


   >> Run Report A10

This report lists all students active in the prompted term who have "inactive" plans listed at Records and Enrollment > Student Background Information > Student Advisor. These plans are highlighted in yellow.

Staff can edit the advisor information, either updating the Academic Plan if the advisor is still valid, or totally removing the advisor row. The student's active programs/plans are listed to aid in this.

  1. Select Academic Program/College
    or Advisor(s).
    (Hold down CTRL to select multiple advisors.). If specifying an Advisor, optionally select the desired plan(s) and then Finish.
  2. Then: PROGRAM_STATUS: Select Active in Program.
    ACADEMIC_TERM: choose the desired Term
    and click OK.
A11. UD Student Advisor-SWAP


   >> Run Report A11

This report creates a "starter" file as input to the Student Advisor Batch Process (Training Required).

It lists all students with the prompted plan and the advisor(s) for that plan. If students are assigned one advisor for their beginning years in a plan, and then switched to a different advisor for the SAME plan, Staff can edit this file to accomplish the swap.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: choose the desired Term.
  3. (Optional) PROGRAM: choose the desired College (UGRD) or Program (GRAD).
  4. (Optional) PLAN TYPE: choose plan type: Major, Minor, Interdepartmental Major, Certificate, etc.
  5. (Optional) PLAN: Select Major(s) and/or Minor(s). Then click OK button at bottom of screen.

NOTE: If students are not enrolled in classes, they will no longer appear on this report after the 10th day of classes (Fall/Spring) or after the Academic Penalty deadline (Winter/Summer).

GRADUATION

G1. Students Expecting to graduate by Term


   >> Run Report G1

Active Students expected to graduate in Spring based upon expected grad term. Note: Summer is usually also selected.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Select the population of students to search (Terms). Hit OK at bottom of screen.
  3. CAREER TYPE: Select UGRD and/or GRAD and hit Reprompt.
  4. PROGRAM: Select desired program(s) or Select all and hit Reprompt.
  5. (Optional) PLAN Type(s): Select Plan Type(s) and hit Reprompt.
  6. (Optional) PLAN: Select Major(s) and/or Minor(s)or Select all.
  7. EXPECTED GRAD TERM: Select Spring and Summer terms and click Finish.
G2. Students Expecting to graduate by Term, including currently-registered courses


   >> Run Report G2

May be used to verify credits needed and/or requirements to be met. Note: Summer is usually also selected.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Select Spring and Summer Terms. Hit OK at bottom of screen.
  3. CAREER TYPE: Select UGRD and/or GRAD and hit Reprompt.
  4. PROGRAM: Select desired program(s) or Select all. Click Reprompt.
  5. (Optional) PLAN: Select Major(s) and/or Minor(s) if applicable or Select all.
  6. EXPECTED GRAD TERM: Enter grad term and click Insert. Click Finish.
G3. Seniors, based on Cumulative Units, by College and Major


   >> Run Report G3

May be used to verify the Expected Grad term information is correct. Note: Summer is usually also selected.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Select Spring and Summer Terms.
  3. PROGRAM: Select desired program(s) or Select All. Follow screen directions re: Finish or Reprompt.
  4. (Optional) PLAN: Select Major(s) and/or Minor(s) or Select all. Click Finish.
G4. Degrees/Certificates Conferred with Plan by Program and Grad Term


   >> Run Report G4

Provides a list of students who have earned their degree or a certificate in the Program and Term specified. Note that degrees are posted by the Registrar's Office a few weeks after graduation. Note: Previous Fall and Current Winter are usually selected.

Provides a list of students who have earned their degree with the MINOR specified. Note that degrees are posted by the Registrar's Office a few weeks after graduation. Note: Previous Fall and Current Winter are usually selected.

  1. DEGREE COMPLETION_TERM(s): Select desired term(s) (Uusally Fall/Winter).
  2. PLAN Description(s)or Code(s): Select desired Minor plans(s).
    Note: MINOR Plan Code(s) have the format: ___-MIN.
  3. Click Finish.
G6. Students Expecting to graduate by Term, including Primary Advisor


   >> Run Report G6

Provides a list of students expecting to graduate by advisor. Note: Summer is usually also selected.

Student information is duplicated for each advisor, so that the report can easily be sorted and distributed for review.

  1. PROGRAM_STATUS: Select Active in Program.
  2. ACADEMIC_TERM: Select Spring and Summer Terms.
  3. CAREER TYPE: Select desired career(s).
  4. PROGRAM: Select desired program(s).
  5. PLAN Code(s): Select Major(s) and/or Minor(s).
  6. Expected Grad Term: Select desired Expected Graduation term.
  7. Click Finish.

GRADUATE COLLEGE

GRAD001. Beginning/End of Term Report*
