Checklist for Participants

Welcome, and thanks in advance for your participation in UD Day in D.C.—September 21, 2022!
The Office of Communications and Marketing (OCM), in collaboration with the Research Office, has developed this page to help you prepare for this signature UD federal relations event. Please follow this guidance to ensure consistency with the University of Delaware brand and to help amplify messaging about our world-class research programs.

Bus transport

Step 5

On Sept. 21, UD will provide bus transportation to/from the event. Buses will depart the parking lot at the Tower at STAR at 1:15 p.m. for our destination — Hart Senate Office Building, Room 902. You will be pre-assigned to a specific table. Although this is a reception for our guests, please be at your table to answer questions throughout the event, from 5:30–7:30 p.m. Boxed sandwiches will be provided on the bus ride home — they will be available starting at 7:45 p.m. in the event space. It is your responsibility to pick one up before you make your way to Union Station. If you indicated a dietary preference, we will make accommodations for you. We expect to depart D.C. by 8 p.m. and be back in Newark by 10 p.m.

Graphics Guidance

We are seeking to present our audiences with a unified and powerful brand. Participants in UD Day D.C. are sharing a wide range of topics in digital and print formats, but the use of current UD brand assets will go along way to present our innovation in a unified manner. Please use the links below to review our Brand Style Guide and obtain current assets for your materials.

  • The UD Day in DC identity graphic is only in use on materials for the live event and for advance promotion to invitees. The graphic should not be used on any participant materials. This will allow your materials to be repurposed for future events and outreach.
  • Use OCM's UD Brand web page for accessing guidance on materials via our Style Guide, current logos and more. Reach out with any questions to ud-day@udel.edu
  • A PowerPoint templates for use in showing any visuals on a monitor or laptop.

Presentation Tips

As a reminder, your audience is predominantly non-scientists—Congressional delegates and staffers, federal agency staff, alumni and friends—and we want to showcase the innovation and positive impact UD is making with federal support. As you present your research:

  • Please introduce who you are and what you do with a smile and enthusiasm. Your 30-second “elevator speech” is a perfect way to start.
  • Early in your conversation, focus on why your research matters—how the challenge you are working on is relevant to your audience and what positive impacts you are making.
  • Explain your work in easy-to-understand language; avoid scientific jargon.
  • Use analogies or a brief story to make your work more understandable and memorable.
  • Be sure to get the contact information of anyone who would like additional information about your work so that we can follow up appropriately.

Prior the Event

If you indicated you will be bringing items for the event, you can either transport the items yourself, or you can have them sent down in a transport van. A few notes about your options:

  • If you transport items yourself: all items with you must be able to fit through an airport-style X-ray machine. We recommend transporting small, fragile items such as laptops yourself.
  • If you want your items transported – Bayshore Transportation will drive the van down, get everything inspected with Capitol security and have items ready when you arrive. All items must be tagged with the attached form (please fill in the blanks- i.e. name and item 1 of 4). There are 2 drop-off times that these items MUST be dropped off if they are to be included.
    • September 19th 1:00PM - 3:00PM (122 Hullihen Hall)
    • September 20th 10:00AM – 12:00AM (122 Hullihen Hall)

  • Remember to bring CABLES/CONNECTORS for any tech you plan to use.

Day of the Event

The event is from 5:30PM – 7:30PM at the Hart Senate Building (same location as the 2015 event)

  • Dress code is business attire. Please dress comfortably for the travel, but know that most attendees will be in business attire.
  • If you are arranging your own transportation, please make sure to be at the Hart Senate Building by 3:30PM to allow time to set up. Once inside, take the NORTH elevators (closest to Union Station) to the 9th floor. Please note: you are responsible for any associated expenses for travel.
  • If you are taking the bus: the bus will leave PROMPTLY at 1:15 P.M. from STAR Tower. Please park in the STAR Tower lot (the entire lot has been rented for us)
  • The bus will drop our group off at Union Station and the Senate building is a brief 5-minute walk. (Jenn Roth and Jenn Doran from the Research Office will be escorting the group)
  • Boxed sandwiches will be provided for the bus ride home. They will be available starting at 7:15 in the event space. It is your responsibility to pick one up before you make your way to Union Station. If you indicated a dietary preference, we will make accommodations for you.

After the Event

  • Please break down your display and take back any items you brought with you.
  • Items that were brought by the UD bus will need to be loaded back on and must retain the tag indicating ownership (if you could have your items grouped back together, that will make the process go smoother)
  • Transport items will be stored in secured location overnight
  • Items MUST be picked back up by September 22 from 11:00a.m.–1:00 p.m. If you cannot pick up your items then, please email Jenn Roth at jaroth@udel.edu).
