Overview of PeopleSoft Grants Process

Last updated 2/2/04

The general process is the same as in the legacy GMS system – departments do the pre-award input and OVPR does the post-award input.  The Training/Comm II Team will train the departments and Grants team will train OVPR.

Overview of Misc. Billing Process

Last updated 2/3/04

Misc. Billing Defined: Misc. billings are invoices generated through the University accounts receivable system to companies and individuals for goods or services. In the legacy system they are “999” numbers.  If a department is typing up invoices on letterhead and sending them out themselves, these should be included as misc. billing as well.  (What they are NOT - payments for goods or services that are paid for on the spot and a cash transmittal is used to record the income.)

Process for Departments

Departments will continue to enter their own misc. billing activity for goods/services and customers.  Account Services will print, send out the bills and work with units to manage accounts receivable.  Departments using EBMS (Event Business Management System) will continue to use it for scheduling, though the billing piece is still being negotiated.

As of the end of January, the Exec Committee thinks that the AR-Billing module in the PS production database will be OPEN.  This means that AR-Billing data will be available to everyone who logs into production (FIPRD).  There will be no row level security by Purpose.  Departments that do misc. billing will get limited login access to FIPRD.
