Workforce management procedures to be altered

8:29 a.m., April 13, 2011--University of Delaware Vice President for Finance and Administration Jennifer (J.J.) Davis has announced a major HRMS system upgrade and accompanying changes in management workforce procedures, specifically relating to the Job Data Form (JED) and the Labor Allocation Module (LAM). The upgrade process begins on Thursday, April 14, and is expected to be completed by Monday, April 18.

Beginning April 18, the JED will be used not only for hires and rehires but for all job changes. The form will automatically update the HRMS system once approved by UD Records Management.  The funding data from the LAM will now be available in the Job Employment View.

If you are using two-factor authentication (2FA), even if a hacker has your password, your information is probably safe.

LAM data will now reside in the HRMS system, while HR LAM input and sign-on remains in UD Financials. Ownership of the HR LAM data will move from the Budget Office to Records Management effective with the upgrade. The LAM deadline remains two days prior to pay day at 5 p.m.  HR LAM Security access is similar to current LAM access. Due to the processing of the April 15 pay prior to the start of the upgrade, the deadline for LAM input for this pay will be at noon, Wednesday, April 13.

With the upgrade and the way the TRF and Work Study TRF forms address funding, these forms will not be available beginning at 5 p.m. on Wednesday, April 13, until the upgrade is complete.

Anna Bloch, director of payroll and records management, said key “wins” with the changes are:

  • Department and funding changes on the JED will automatically update the LAM department and LAM funding.
  • The JED allows both permanent funding (Position) and temporary funding (LAM) changes at the same time.
  • All employees will be in the LAM, and graduate students will be added to the LAM automatically.
  • LAM entry page allows multiple distribution changes for one effective date.
  • Multiple LAM distributions within a pay period will pro-rate changes.
  • Financial transactions will have one transaction per earnings code and purpose with correct account description.
  • New fiscal year – Prior LAM distributions will be copied to the new year automatically for all employees.
  • Payroll data and financial transactions will be consistent.
  • Terminated employees will be viewable in the LAM.
  • The JED auto updates the LAM and WebViews.
