    Classroom Request Forms


  • *New Special Event Request Process
  • 25LIVE Special Event Reservation  (Log-in is required to request space)
    Requests are generally processed 5 business days from the date of the request.

    • Requests for classroom space will not be approved until classrooms have been assigned to academic classes for the term.
    • Successful submission of a special event request does not mean the request is automatically approved. A confirmation email will be sent once the request has been approved.
    • When choosing the start time of your event, please consider any necessary set up time.
    • Please do not use 25 Live to request space for an out-of-class or final exam. Questions about space for out-of-class and final exams should be directed to the Registrar’s Office
    • We are not able to accommodate scheduling faculty/staff office hours in central inventory classrooms. Please contact your academic department for available space.
    • If you are using UD Live or Zoom for your event, please consider using the Closed Captioning function in support of those with hearing difficulties.
    • IT-UMS (University Media Services) will not modify or add to the existing AV technology in general classrooms for the purpose of supporting events. Professional live streaming from general classrooms is not a provided service.

  • Academic Classroom Change  (Form - Login required)
  • We are not accepting classroom change requests for the Fall 2023 semester at this time.


    *Note: Please note there have been changes to the section below.

  • The Scheduling Office will consider classroom change requests for the following reasons:
    • American with Disabilities Act (ADA) compliance for faculty or students. Please make sure you are formally documented with the DSS Office.
    • Faculty teaching back-to-back sections (15 minutes or less between sections) and not scheduled in the same BUILDING. We cannot always accommodate the same classroom, but will work to get you into the same building.
    • Swapping classroom assignments within your departmental offerings. Please propose these solutions to the Scheduling Office, we will not find them for you.
    • Technology and Layout requests that were not entered during the Plan Phase of scheduling. We cannot guarantee the seating style or technology request is available if it was not made during the planning process of classroom assignment, but we can look into possible availability.
  • New Sections, Changes to Meeting Pattern, and Enrollment Cap Increases:

    Please put these additions and changes through CLSS and our workflow process will prompt a review by the Scheduling Office. If you are increasing the enrollment cap and it is higher than your currently assigned room, please change the assignment to General Assignment Room in the Room drop down in CLSS. Your changes will not be live in UDSIS, Courses Search, or WebReg until the Scheduling Office has reviewed the request and approved the workflow. You will receive an email message if the request was approved or rolled back.

    Classroom Policies

    (effective June 2017)

  1. Central inventory classroom space, scheduled by the University Registrar’s Office is available for use by faculty, staff and Registered Student Organizations (RSO) for university-related business or events, only.
  2. Lobby space in some academic buildings is available for use after 7:00pm Monday – Thursday and after 5:00pm on Friday.
  3. Events which charge fees, invite persons from outside of UD, and/or where catering is needed must be coordinated/scheduled through Conference Services.
  4. Per UD Policy, no food and/or beverages are allowed in academic classrooms. Several classroom buildings have designated areas for food setup.
  5. Academic Classrooms will not be reserved for instructor office hours.
  6. Special events will be scheduled on a first-come-first-served basis.
  7. Academic departments are not to make requests for classrooms on behalf of students.
  8. RSOs wanting to request academic classrooms for an event must do so through the Event Services Office which is located in room 103 of the Trabant University Center - sites.udel.edu/usc/forms/. Refer to the “Weekend Classroom Usage” guidelines below.
  9. For classroom maintenance, please contact the building supervisor or fill out a Facilities Repair Request.

  12. *All special event requests are subject to change, with space priority given to academic classes.

    Weekday Classroom Usage
  1. All academic courses will be scheduled in classroom space before special events are scheduled.
  2. In Fall and Spring terms, special event space requests during peak course meeting times (MWF 9:05 – 12:20 & TR 9:30 – 5pm) will not be scheduled until after the 10th day of that term.
    Weekend Classroom Usage
  1. Many academic classrooms are not available on weekends when Admissions has scheduled Decision Days, Blue & Gold Days, Alumni Weekend, etc. Check 25Live - View Room Availability before submitting your request.
  2. Events are primarily scheduled in the Quad for security and/or energy-saving reasons (EWG, KRB, PRN & SMI).
  3. On Sundays, RSO groups of 75+ must adhere to the following designated scheduling times – indicate preferences on request form:
        a. 2 hour times: 4 – 6pm; 6 – 8pm; 8 – 10pm
        b. 3 hour times: 3 – 6pm; 8 – 11pm
